1. Definitions
- 1.1 System — The VerixID platform, accessible at verixid.com and its associated subdomains.
- 1.2 User — Any individual or entity accessing or utilizing the System.
- 1.3 Record — An entry on the VerixID ledger representing the timestamped registration of a file fingerprint.
- 1.4 Ownership Key — A cryptographic secret key issued exclusively to the initial registrant of a file.
- 1.5 Fingerprint — A cryptographic SHA-256 hash value derived from a file.
- 1.6 We / Us / Our — PT Verix Identitas Digital, as the legal operator, provider, and maintainer of the VerixID infrastructure.
2. Description of Services
VerixID provides cryptographic fingerprint registration, ledger logging, and verification services for digital assets. The scope of service includes the following components:

2.1 General Scope
VerixID operates an immutable ledger infrastructure for registering and verifying cryptographic file fingerprints. The platform serves as a deterministic mathematical integrity proof by recording SHA-256 file hashes alongside server-stamped time parameters. -
- a. 2.2 Fingerprint Registration Users may commit the cryptographic fingerprint of a digital file to the platform. The System computes the hash locally using the SHA-256 algorithm and anchors it to the ledger with an authoritative server timestamp. Registration solely attests to the existence and exact bit-state of the file at the moment of recording; it does not constitute a legal endorsement, representation, or validation of the file's underlying contents or intent. Server timestamps reflect internal system clock time and are not intended as official external time-stamping authority (TSA) attestations.
- b. VerixID does not guarantee that files processed by Users were free from corruption, unauthorized modification, or tampering prior to local hash generation.

2.3 Record Verification
VerixID provides a deterministic verification mechanism to evaluate whether a candidate file is bit-identical (binary-identical) to a previously registered fingerprint. Verification returns binary outcomes:- a. Match confirms bit-for-bit identity with an existing ledger record.
- b. Mismatch indicates a variance in binary data, without inferring the cause, context, or magnitude of the alteration.

2.4 Ownership Key
Registrations may be tied to an Ownership Key, establishing technical control over the associated record. Claim of ownership over a record is strictly contingent upon possessing this key. Loss of the Ownership Key permanently eliminates the technical capacity to prove control over the record; this outcome is irreversible and final. -
2.5 Certificate of Authenticity (COA)
VerixID issues Certificates of Authenticity (COA) as a formal presentation layer for digital fingerprints recorded in the System. A COA does not constitute a notarized instrument, legal title, or regulatory endorsement.- a. COAs are derived artifacts bound to an existing Record ID. Issuing a COA does not modify, extend, or alter the underlying technical validity of the root Record ID.
- b. Each COA incorporates the registrant's stated ownership claim submitted at issuance, representing the asserting party alongside the underlying file integrity proof.
- c. COAs carry a default public verification window of 10 (ten) years from issuance. During this term, VerixID hosts public verification endpoints for the certificate. Upon expiration, VerixID may terminate public lookup access or archive certificate records pursuant to system retention policies.

2.6 Service Limitations
VerixID operates strictly as a hash-based integrity recording mechanism and adheres to the following constraints:- a. VerixID never receives, stores, or processes actual file payloads—only cryptographic fingerprints generated on the client side.
- b. VerixID does not inspect, validate, or guarantee the legal validity, truthfulness, or copyright status of registered documents.
- c. Verification applies exclusively to bit-identical files. Any modification—including re-compression, metadata alterations, or format conversion—yields a distinct hash.
- d. VerixID does not act as a notary public, escrow agent, or legal certifying authority.
- e. While SHA-256 is computationally collision-resistant, VerixID makes no claims of absolute theoretical mathematical uniqueness.
- f. VerixID assumes no obligation to conduct investigations, forensic audits, or external verification of submitted files or records.
- g. VerixID does not guarantee hash consistency for documents undergoing physical rendering, scanning, re-encoding, or structural transformation.

2.7 User Responsibilities
Users assume full responsibility for ensuring that verified files remain bit-identical to registered baselines. VerixID disclaims all liability for discrepancies resulting from file corruption, local modification, or client-side processing errors. -
2.8 Essential Nature of the Service
To ensure clarity of scope, the User acknowledges and agrees that:- a. VerixID provides cryptographic recording and verification serving solely as mathematical proof of file integrity, not as an assessment of legal intent, validity, or context.
- b. All verification outputs are deterministic and restricted to binary hash matches, conveying no secondary interpretations.
- c. Cryptographic primitives (including SHA-256) are implemented according to standard industry collision-resistance practices, rather than absolute mathematical guarantees.
- d. VerixID offers no guarantee that system outputs will satisfy legal evidentiary standards in any specific jurisdiction.
- e. System workflows—including Ownership Key generation, timestamping, and ledger commits—operate under the principle of finality and irreversibility.
3. Acceptable Use
3.1 Authorized Activities
Users are authorized to use the System to:
- a. Register fingerprints of files they own or are authorized to manage.
- b. Perform public verifications of recorded entries.
- c. Demonstrate proof of registration in legitimate legal, commercial, or personal contexts.
3.2 Prohibited Activities
Users shall not:
- a. Register file fingerprints without lawful authority or consent from rights holders.
- b. Utilize the System for unlawful activities or to infringe upon third-party rights.
- c. Attempt to tamper with, disrupt, or compromise the integrity of the ledger infrastructure.
- d. Execute automated high-volume submission attacks (flooding) against system APIs or interfaces.
- f. Register fingerprints associated with illegal, harmful, or copyright-infringing content.
- g. Misuse verification outputs to execute fraudulent or deceptive schemes.
4. Ownership Key Custody
Management of the Ownership Key rests exclusively with the User.
- 4.1 VerixID does not retain or back up Ownership Keys — lost keys cannot be recovered under any circumstance.
- 4.2 Users are solely responsible for securely storing their Keys.
- 4.3 Possessing the key confers technical authority over the record within the system framework.
- 4.4 VerixID bears no liability for damages resulting from lost, compromised, or stolen Ownership Keys.
5. Ledger Immutability
Users explicitly acknowledge and agree that:
- 5.1 Committed Record IDs on the ledger cannot be modified, edited, or deleted.
- 5.2 Immutability is an architectural property of the system, not an administrative setting subject to exception.
- 5.3 Users must verify the accuracy of file selection prior to completing registration.
- 5.4 VerixID assumes no liability for unintended, erroneous, or unauthorized file registrations.
6. Service Tiers and Public Accessibility
VerixID maintains a clear distinction between two operational concepts: data retention and public accessibility.
6.1 Data Retention — Uniform Application
- a. Registered ledger records are retained for 1 year* from registration across all service tiers, including free accounts.
- b. Retention is structurally enforced and cannot be accelerated or cancelled prematurely.
- c. Data retention is independent of account subscription status.
6.2 Public Accessibility — Tier Dependent
- a. Free Tier — Records remain publicly queryable via the Verify interface for 1 year* following registration.
6.3 Inactive Status — Irreversible
- a. Records that transition to an inactive state cannot have their public accessibility restored under any circumstance.
- b. No extension, reactivation, or recovery mechanisms exist once public access expires.
- c. Accessing inactive record metadata requires ordering a paid Technical / Forensic Report, subject to identity verification.
- d. Record entries remain secured on the underlying ledger for up to 1 year* and remain accessible for legal discovery through forensic report channels.
7. Dispute Resolution and Forensics
In the event of ownership or registration disputes:
- 7.1 VerixID acts strictly as a neutral technical witness—never as an arbitrator or judicial entity.
- 7.2 Cryptographic proof (Ownership Key + valid receipt) serves as the primary technical baseline.
- 7.3 Formal dispute inquiries may utilize paid Forensic Report services to obtain structured technical documentation.
- 7.4 Accessing forensic data requires identity verification and settlement of applicable service fees.
- 7.5 Final legal determinations rest exclusively with competent judicial authorities.
8. Limitation of Liability
8.1 The System is provided on an "as-is" and "as-available" basis. VerixID makes no warranties that:
- a. System access will be uninterrupted or error-free.
- b. Ledger records will be automatically admitted as legal evidence in every jurisdiction.
- c. The platform is entirely free from technical defects or minor operational delays.
8.2 VerixID shall not be liable for indirect, consequential, special, or incidental damages, loss of profits, or data loss arising from platform usage.
- a. Paid Tiers: Aggregate liability is capped at the total fees paid by the User to VerixID within the preceding 30 (thirty) days.
- b. Free Tier: Services are provided without monetary warranty or financial liability of any kind.
9. Intellectual Property
All proprietary technology, underlying source code, system architecture, branding, and interface content remain the exclusive intellectual property of VerixID. Users receive a limited, revocable, non-exclusive right to access the platform in accordance with these Terms.
10. Termination of Service
VerixID reserves the right to suspend or terminate service access for any User violating these Terms without prior notice. Account termination does not alter or erase records already committed to the immutable ledger.
11. Governing Law and Jurisdiction
These Terms and Conditions are governed by and construed in accordance with the laws of the Republic of Indonesia. Any dispute arising out of or in connection with the use of the System shall first be submitted to amicable negotiation. If a resolution is not reached within 30 (thirty) calendar days, the User and PT Verix Identitas Digital agree to submit the dispute to the exclusive jurisdiction of the District Court of Depok (Pengadilan Negeri Kota Depok).
12. Modifications to Terms
We reserve the right to amend these Terms at any time. Material updates will be posted directly to this page with an updated effective date. Continued interaction with the System following published updates constitutes acceptance of the modified Terms.

15. Record Retention (Time-to-Live)
This section outlines the retention limits and public accessibility windows governing VerixID records.

15.1 Retention Duration
Registered records maintain a default retention duration of 1 (one) year from initial registration. Upon expiration of this term, public verification endpoints for the record are deactivated. -
15.2 TTL Policy Flexibility
Retention durations assigned to free tier records represent maximum thresholds at policy enactment. VerixID reserves the right to modify TTL durations in response to infrastructure demands, operational requirements, or business policies. -
15.3 Right to Modify
VerixID maintains absolute discretion to:- a. Adjust retention windows—extending or shortening durations—without requiring individual User consent.
- b. Apply updated TTL schedules to both existing and prospective ledger records.
- c. Publish updates via the Terms and Conditions page or official communication channels.

15.4 Monitoring Responsibilities
Users are encouraged to review these Terms periodically to track policy adjustments. VerixID disclaims liability for loss of public accessibility resulting from policy shifts or term expirations. -
15.5 Extension Options
Users requiring extended record accessibility or legal documentation may utilize the Certificate of Authenticity (COA) service.
